A client asks your agency to “sort out their HubSpot.” Your team builds great campaigns and websites, and someone has done a few workflows before. You say yes. Three weeks in, it turns out the real problem is lifecycle stages being overwritten by an integration nobody documented, and the project is now eating margin and goodwill at the same time.
That’s the situation we help agencies avoid. We bring CRM architecture and hands-on build experience into your projects, so you can say yes to CRM work and deliver it properly.
What we do for agencies
Overflow work sits across all of these. When your team is full, or a project needs someone senior on CRM for a few weeks, we can pick it up without you hiring for a peak.
How white-label work runs
- Your client brief
- Scoping with your team
- Build and QA
- Documentation in your format
- You deliver
Most agencies prefer we stay out of sight of the client. That’s fine. We work through your project management tool and your Slack or Teams, take briefs from your account lead, and hand back work your team can present. Where it helps to have us on a client call, we join as part of your team and follow your lead on how we’re introduced.
What we’ll need from you: a clear brief (we’ll help sharpen it), access to the client’s systems through properly scoped user accounts, and a named person on your side who can make decisions or get answers from the client quickly.
Have a CRM project you're not sure how to staff?
Tell us what the client needs. We'll tell you honestly whether it's a fit and how we'd approach it.
Confidentiality
Working behind an agency only works if the agency can trust that the relationship is protected. In practice that means:
- We’ll sign your NDA before seeing client details, or provide our own.
- Deliverables carry your branding, not ours, unless you’d like otherwise.
- We don’t contact your clients directly, approach them for future work, or name them in our marketing.
- Client system access goes through individual user accounts with the permissions the work needs, and is removed when the project ends. Our security page has more on how we handle access and data.
If your contracts have specific terms on subcontracting or data handling, send them early and we’ll work within them.
Engagement options
There’s no single model. Most partnerships start with one project and settle into whatever pattern fits the agency.
Per-project
A defined piece of work for one client, scoped and priced up front. A CRM audit or a Klaviyo flow rebuild is a common first project, because it’s contained and shows you how we work.
Overflow
For agencies that already do CRM work in-house but hit capacity. We take on specific builds or tasks when your team is stretched, so you don’t have to turn work away or hire for a peak.
White-label
We operate as part of your delivery team under your brand, on one or many clients. This suits agencies selling CRM services as their own offer without a dedicated specialist on staff.
Ongoing partner
A standing arrangement where we’re your CRM specialists across accounts: scoping new work with your sales team, building, reviewing what your team builds, and supporting clients over time. Terms are agreed with each agency.
Why agencies bring in a CRM specialist
Most agencies are strong at strategy, creative and campaigns. CRM work asks for something different: thinking in data models and states, anticipating edge cases, and testing what happens when two workflows touch the same property. When that’s missing, problems show up months after launch, often after the project has been closed and billed.
HubSpot and Klaviyo are where most of our work happens, and we focus on the underlying lifecycle questions regardless of platform. That means your client gets a build that holds up, and your team gets documentation and examples it can learn from. Read more about how CRMmentor works, or see the B2B and ecommerce lifecycles we typically build on the B2B and ecommerce pages.
Will our clients know you’re involved?
Only if you want them to. By default we work under your brand and through your team. If you prefer to introduce us as a specialist partner, that works too.
Can you review something our own team has already built?
Yes, and it’s one of the more useful ways to start. We go through the build before or shortly after launch, test the triggers and exclusions, and send your team a written list of issues ranked by risk. They fix what they can; we pick up anything they’d rather hand over.
How is agency work priced?
Per-project work is quoted on scope, the same way as our direct work; our pricing page explains what drives cost. Overflow and ongoing arrangements are agreed with each agency based on expected volume and how you want to work.
Can you help us scope and sell CRM projects?
Yes. We can join pre-sales calls as part of your team, review a client’s setup before you quote, or help write the scope so it reflects what the work will actually involve.
What if a project turns out bigger than the brief?
We flag it as soon as we see it, to you rather than the client, with a clear explanation of what changed and the options. You decide how to handle it with your client.
