What affects the cost of CRM work?
Cost is driven mainly by how much of your system we need to understand and change, and how much risk there is in changing it. Here’s what that means in practice.
Platform
Some platforms expose more of their configuration than others, and some have stronger built-in tools for things like deduplication or workflow history. A HubSpot audit and a GoHighLevel audit cover the same ground, but the route to the answers differs. Working across two connected platforms, such as a CRM plus Klaviyo, takes longer than either alone.
Database size
A list of 8,000 contacts and one of 800,000 can share the same problems, but checking data quality, segment logic and duplicate rates takes more time at scale. Changes to large databases also need more care, because a bulk update that goes wrong affects far more records.
Existing architecture
A fairly new setup with a clear structure is quicker to work in than one that has been extended by several people over several years. If nobody can say why a property exists or which workflow sets a field, part of the work is finding out.
Number of workflows
Fifteen workflows can be reviewed one by one. A hundred and fifty need to be mapped as a system, because the problems are usually in how they interact: two workflows updating the same field, or a contact sitting in three nurture sequences at once.
Data quality
Clean data lets us get straight to lifecycle and automation. Messy data comes first. Duplicates, inconsistent picklist values, free-text fields where there should be dropdowns, and missing sources can add cleanup time before anything else can be built reliably.
Integration complexity
A native Shopify-to-Klaviyo connection is a different job from a custom sync between a billing system, a CRM and a support desk through Make or n8n. More systems, more data directions and more custom logic all add time, both to build and to test.
Project scope
An audit of lifecycle stages alone costs less than one covering data, automation, integrations and reporting together. Likewise, building three onboarding emails is a different project from designing a full B2B lifecycle with routing, nurture and renewal tracking.
Deliverability severity
Deliverability is priced as a custom scope because the starting point varies so much. Fixing a missing DMARC record is quick. Recovering from a domain that’s been landing in spam for months, with a list that hasn’t been cleaned in years, takes longer and needs gradual changes to sending. See deliverability improvement for how we approach it.
Want a realistic figure for your setup?
A short consultation is usually enough to tell you which service fits and roughly where your project will land.
What does a CRM audit fee typically cover?
A CRM Audit fee covers a structured review of your system and a written set of findings with priorities. The exact scope is agreed up front, but a typical audit includes:
- a kickoff conversation to understand your business, lifecycle and the problems you’re seeing;
- a review of data structure and quality, lifecycle stages or states, workflows and automations, integrations, and reporting;
- tracing a sample of real records through the system to see where they stall or go wrong;
- a findings document that explains each issue, why it matters, and what we’d recommend;
- a prioritized roadmap separating quick fixes from larger projects;
- a walkthrough call to go through the findings and answer questions.
The audit does not include fixing what we find. Some quick fixes may be simple enough to note how to do them, but implementation is scoped separately. You’re free to take the roadmap and do the work in-house or with someone else.
How quotes work
- Initial conversation. A consultation or a submitted audit request tells us what you’re dealing with.
- Scope. For audits we can often quote from the conversation. For implementation and automation, we usually need an audit or a short discovery phase first, because quoting a build without seeing the system means either padding the price or getting it wrong.
- Written proposal. You get a document listing what’s included, what isn’t, deliverables, timeline, and the price.
- Changes. If something turns up mid-project that changes the scope, we raise it before doing extra work, with options, and nothing is added without your agreement.
The proposal lists everything you’ll be charged for. Platform subscription costs, such as your HubSpot or Klaviyo plan, are paid by you directly to the vendor and aren’t part of our fees.
Do you charge hourly or a fixed price?
Most projects are quoted at a fixed price for an agreed scope, so you know the cost before work starts. CRM Optimization is a monthly retainer. If a piece of work genuinely can’t be scoped in advance, we’ll say so and agree how time will be tracked and capped before starting.
Can the audit fee be credited toward implementation?
Ask us about this when you request an audit. How the audit and any follow-on project relate depends on the scope of both, and we’ll discuss it as part of the proposal.
Is there a minimum term for CRM Optimization retainers?
Terms are agreed when the retainer is set up and depend on what the retainer covers. Ongoing optimization tends to work best over a few months, since changes need time to show results, but we’ll discuss what makes sense for you rather than default to a fixed lock-in.
Why is deliverability improvement custom scope?
Because the work ranges from a few DNS and authentication fixes to a gradual recovery of sender reputation over weeks. We need to see your authentication records, sending data and list health before we can quote fairly.
Can we start with something smaller than the starting price?
Sometimes. A focused review of one area, such as a single flow or a routing problem, may cost less. Tell us what you need in a consultation and we’ll be straightforward about whether it’s worth a separate engagement.
Do you offer discounts?
We don’t publish discounts. If budget is tight, we’d rather help you phase the work so the most important part gets done first.
