Zoho

Zoho Strategy, Automation & Implementation

We configure Zoho around how your sales and service process runs: the modules, fields, rules and integrations that decide where each record goes and what happens to it next.

Assignment rules decide the owner. The order of checks decides whether it's the right one.

Zoho rarely arrives alone. A business starts with the CRM, then adds Zoho Books for invoicing, Zoho Desk for support, maybe Zoho Campaigns for email and Zoho Forms for the website. Each app gets set up when someone needs it, by whoever needs it, with whatever field names made sense that week.

A few years in, the same customer exists in four apps under slightly different names. Sales can’t see an overdue invoice before calling about an upgrade. Support has no idea the account is in the middle of a renewal. The software can connect all of this. Somebody just has to decide how.

That’s the work we do in Zoho: design the data structure and rules first, then configure the apps to follow them.

Data structure: modules, fields and lead conversion

Zoho organizes records into modules. The standard sales modules are Leads, Contacts, Accounts and Deals, and you can add custom modules for things like projects, subscriptions or properties. Most structural problems trace back to one decision: what the Leads module is for.

Some teams skip Leads entirely and put everyone straight into Contacts. Others put everyone in Leads and never convert, so Accounts and Deals stay half-empty. Zoho’s model works best when converting a lead is a real qualification moment. Conversion creates a contact and an account, and optionally a deal, and from then on the record lives in those modules.

The catch is the lead conversion mapping. Any lead field that isn’t mapped to a field on the contact, account or deal doesn’t carry over. We regularly find qualification answers (“budget range”, “decision timeline”, “current provider”) collected carefully on the lead and gone after conversion, so the sales rep asks the same questions again. We fix the mapping, tidy field types (picklists for anything you’ll report on, not free text), and set page layouts so each team sees the fields it actually uses.

Workflow rules, Blueprint and where each belongs

Workflow rules react to something happening to a record: it’s created, edited, a field changes, or a date arrives. They run actions such as email notifications, tasks, field updates, webhooks and custom functions written in Deluge, Zoho’s scripting language.

Blueprint is different. It maps a process as stages and transitions, and controls how a record is allowed to move: which fields must be filled in, who can perform the transition, what happens after. It’s the right tool when a step must not be skipped, such as a deal that can’t move to “Contract sent” until the pricing approval field is set.

Problems start when both try to control the same thing. A workflow rule updates the deal stage on one condition while a Blueprint expects reps to move it through a transition. Records end up stuck, or move without the checks Blueprint was meant to enforce. Undocumented custom functions add another layer: a Deluge script written by a former admin quietly overwrites a field every night, and nobody knows why the value keeps changing.

We inventory every workflow rule, Blueprint and custom function, note which fields each one writes, and give each process one clear owner.

How lead routing works in Zoho

Zoho routes new records with assignment rules, which assign an owner based on criteria such as lead source, region or industry, often with round-robin distribution inside a group of users. The rules are straightforward. Routing goes wrong at the edges.

Records created by an integration may skip assignment rules and workflows entirely, depending on how that integration calls Zoho’s API. Leads from a web form get routed; the same type of lead from a chat tool or a lead-gen platform sits unassigned. Imports follow their own owner settings, which are easy to get wrong under time pressure. And when a lead belongs to a company you already work with, the territory rule may hand it to the wrong rep.

We trace every source that creates records, confirm each one triggers the intended rules, and set a fallback owner plus an alert for anything unworked past your response time. Lead routing is a large part of our CRM automation work.

Integrations and the wider Zoho ecosystem

Connecting Zoho apps to each other is usually easier than connecting them to everything else. Zoho Campaigns syncs with CRM modules for email marketing. Zoho Flow handles integrations between Zoho apps and third-party tools. For tools outside Zoho, a general integration platform like Zapier or Make may fit better, especially if your team already uses one.

The question we care about more is which system owns which data. If billing lives in Zoho Books and the CRM also has a “Customer status” field someone updates by hand, they’ll disagree within a month. We define the source of truth for each key field and build the sync around it. See our approach to integrations.

Reporting you can act on

Zoho’s built-in reports and dashboards cover most needs, and Zoho Analytics adds deeper analysis across apps. Neither helps much if deals have no closing date, stage values have been renamed three times, or half the team logs calls and the other half doesn’t. We clean up the underlying fields and stage definitions first, then build the reports around questions management asks: which sources create deals that close, where deals stall, and how fast leads get a first response.

Working with us on Zoho

Projects usually start with an audit of your modules, rules, integrations and reports. For new Zoho setups or rebuilds, we plan the data structure and process with you before configuring anything, as part of a CRM implementation. If you run a sales-led business, our B2B solution explains how this fits into the wider lifecycle.

Make Zoho match the way you sell

We review your modules, rules and integrations, then show you what to restructure so records route correctly and reports hold up.
