Privacy Policy

What personal information this website collects, why we collect it, who we share it with and the choices you have.

Last updated: October 2026

Draft notice: this policy should be reviewed by a qualified professional before it is relied on.

This policy explains how CRMmentor (“we”, “us”) handles personal information collected through this website. It covers our forms, the CRM Health Check and any emails you send us.

It doesn’t cover the customer data we may see when working inside a client’s CRM or marketing systems. In that work we act on our client’s instructions, and that is covered by our data processing page and any agreement we sign with the client.

Who is responsible for your information

CRMmentor is responsible for the personal information collected through this website. You can contact us about anything in this policy using the email address on our Contact page.

What we collect

Information you give us through forms

Our forms ask for different things depending on what you’re requesting:

  • Audit requests: first and last name, work email, company, website, the systems you use (CRM, marketing platform, ecommerce platform and others), approximate number of contacts, the problems you’re facing, the type of engagement you’re interested in, budget range, timeline, and anything you write in the open question.
  • Consultation requests: your name, work email, company and a short description of what you’d like to discuss, plus any scheduling details.
  • Agency partnership requests: your name, work email, agency name, website and a description of the work you need help with.
  • General contact: your name, email address and your message.

Please don’t include passwords, customer lists or other sensitive information in free-text fields. We don’t need them at that stage.

CRM Health Check answers

You can start and complete the CRM Health Check without giving us any personal information. Your answers describe your systems and processes, such as whether your lifecycle stages are documented or how integrations are monitored.

If you ask for the detailed breakdown, we’ll ask for your email address so we can show and send it. From that point your answers are linked to your email address, and we may use them to prepare for a conversation if you later contact us. Results pages don’t include personal information in their web address.

Information collected automatically

Like most websites, our hosting environment records basic technical information when you visit, such as your IP address, browser type, the pages requested and the time of the request. This is used to keep the site running and secure.

We use essential cookies only by default. See our cookie policy for details.

Emails and calls

If you email us or speak with us on a call, we keep the correspondence and any notes we take so we can follow up properly.

How we use your information

We use your information to:

  • reply to your request and prepare for any call or proposal
  • show and send your CRM Health Check results
  • follow up on your inquiry, for example to send a proposal or check whether you still need help
  • keep the website secure and working properly
  • meet legal, accounting or regulatory obligations

We don’t add you to a marketing newsletter because you filled in a form. If we ever offer a newsletter, you’ll be asked separately and can unsubscribe at any time.

We don’t sell your personal information, and we don’t use it for automated decisions that have legal or similarly significant effects on you.

Where data protection laws such as the UK or EU GDPR apply, we rely on:

  • steps before a contract, when you ask us for an audit, consultation or proposal
  • legitimate interests, to respond to inquiries, follow up on them in a reasonable way, and keep the site secure
  • consent, where we ask for it, such as for optional cookies if we introduce them
  • legal obligation, where we have to keep records

Who we share it with

We use a small number of service providers to run the website and our business. They may include providers of website hosting, form handling, email, scheduling and the system we use to manage inquiries. They act on our instructions and may only use your information to provide their service to us.

We may also share information with professional advisers such as accountants or lawyers, if required by law or to protect our rights, or with a successor business if CRMmentor is ever reorganized or sold. In that last case, this policy would continue to apply to your information.

International transfers

Some of our service providers may store or process information outside your country. Where that happens and the law requires safeguards, we rely on appropriate measures such as adequacy decisions or standard contractual clauses.

How long we keep it

  • Inquiries and Health Check results that don’t lead to work: up to 24 months after our last contact, then deleted.
  • Information about clients and projects: for as long as needed to deliver the work and then for the period required for legal, tax and accounting purposes.
  • Technical logs: for a short period, typically a few weeks, unless needed to investigate a security issue.

You can ask us to delete your information sooner. See your rights below.

Your rights

Depending on where you live, you may have the right to:

  • access the personal information we hold about you
  • ask us to correct it
  • ask us to delete it
  • object to or restrict how we use it
  • receive a copy in a portable format
  • withdraw consent where we rely on it

To use any of these rights, contact us using the email address on our Contact page. We may need to confirm your identity before acting on a request. We’ll respond within the time the law requires.

If you’re unhappy with how we’ve handled your information, please tell us first so we can try to fix it. You also have the right to complain to the data protection authority where you live or work.

Security

We protect personal information with access controls, multi-factor authentication on our accounts and careful handling of exports and credentials. Our security page describes these practices in more detail.

Children

This website is intended for business users and isn’t directed at children. We don’t knowingly collect information from anyone under 16.

Changes to this policy

We may update this policy when our practices or the law change. The “last updated” date at the top shows when it was last revised. If a change significantly affects how we use information you’ve already given us, we’ll take reasonable steps to let you know.
