Instantly Cold Email Setup, Deliverability & CRM Handoff

We set up Instantly so outbound runs on separate, authenticated sending infrastructure, replies are triaged properly in Unibox, opt-outs stay suppressed everywhere, and interested prospects arrive in your CRM with an owner.

  1. Reply lands in Unibox
  2. Label intent
  3. Interested: create or update CRM record
  4. Opt-out: Global Blocklist + CRM suppression
  5. Owner follows up
The value of a cold email program shows up after the reply. Every reply needs a decision and a destination.

Instantly makes it easy to start sending cold email at volume. Connect a batch of mailboxes, switch on warmup, upload a lead list, write a few steps, launch. That ease is the risk. Teams can go from zero to thousands of emails a week before anyone has decided who should be contacted, how opt-outs are handled, or where the interested replies are supposed to go.

We work on the parts that decide whether the program is sustainable: the sending setup, the audience, the reply process and the handoff to sales.

What Instantly covers, and what it doesn’t

Instantly is cold email sending infrastructure. It manages many sending accounts in one workspace, warms them up through its deliverability network, rotates sending across accounts in a campaign, and collects every reply in a shared inbox called Unibox. Depending on your plan, it also offers subsequences triggered by lead status or reply content, inbox placement testing, a B2B lead database, and its own lightweight CRM.

It is not a substitute for a clear outbound strategy, a clean data source, or your main CRM. And it can’t make an unwanted email wanted. If the audience is wrong, better infrastructure only helps you reach the wrong people faster.

How we set up an Instantly workspace

Separate the sending domains

Outbound runs on secondary domains, never your primary company domain. Each gets SPF, DKIM and DMARC configured and a redirect to your main site. If Instantly provisions accounts for you, we still confirm the DNS records and decide how many accounts each domain should carry.

Warm up, then ramp slowly

New accounts warm up before they carry campaign traffic, and daily limits start low. We increase volume only when bounce and reply data per account and per domain support it. Warmup reduces risk; it doesn’t override how real recipients respond to your emails.

Clean and scope the lead list

Before import we verify addresses, remove role accounts where appropriate, and exclude current customers, open opportunities, past opt-outs and anyone already being contacted by sales. Every lead keeps a record of where it came from.

Build campaigns around one audience and one reason

One campaign per segment and message. Short sequences, honest subject lines, plain text, a clear way to decline. Follow-ups add information rather than repeating the first email.

Decide reply handling before launch

Labels, owners, response times and CRM rules are agreed before the first send, so the first interested reply doesn’t sit in Unibox over a weekend.

For the technical background, see our guides to cold email infrastructure and outbound domain setup.

Unibox is a triage desk, not an inbox

Unibox gathers replies from every connected account, which is exactly what you want. The danger is treating it like a personal inbox: someone reads replies when they have time, answers the interesting ones and ignores the rest.

We set it up as a queue with rules. Every reply gets a lead status or label: Interested, not now, wrong person (with a referral, if offered), out of office, or opt-out. Instantly’s AI reply labels can pre-sort replies, but we review how they’re classifying yours before relying on them, especially for opt-outs phrased politely (“I’m all set, please don’t email again”).

“Not interested” and “do not contact” are different outcomes. The first is a sales result that might change in a year. The second is an objection to further email and has to be honored everywhere. Opt-outs go to Instantly’s Global Blocklist, which blocks an email address or a whole domain across the workspace, including leads already in active campaigns. We also check that unsubscribed leads are added to the blocklist automatically, since that’s a setting rather than a given, and that the same suppression is written back to your CRM and to whatever tool supplies your lead lists. Otherwise the next export brings the same people back.

Do your opt-outs survive the next list import?

We'll check how unsubscribes, opt-out replies and bounces move between Instantly, your lead sources and your CRM.

Instantly CRM or your main CRM?

Use Instantly’s CRM for working replies inside the outbound process if it helps your SDRs. Keep your main CRM as the system of record for anyone who becomes a real opportunity.

The reason is reporting and ownership. Marketing, account management and finance live in your main CRM. If a prospect replies “yes, let’s talk” and that conversation only exists in Instantly, no one else can see that the company is in an active sales process, and an account manager may email them about something unrelated the same week.

We connect Instantly to HubSpot, Salesforce, Pipedrive or another CRM using native integrations or webhooks, and define the rules first:

  • Which statuses create a CRM record (usually Interested and meeting booked, not every reply).
  • How duplicates are avoided: match on email, then company domain, and update existing records instead of creating new ones.
  • Who becomes the owner, and what happens when the company already belongs to an account executive.
  • What gets recorded: campaign, sequence step, original lead source, and the reply itself.

Where native integrations stop short, we use Zapier, Make or n8n for the remaining logic. Our guide to outbound CRM handoff walks through the design in more detail.

Measuring what matters

Opens are unreliable for cold email and many teams switch open tracking off. We report on bounce rate by account and domain, reply rate and positive reply rate by campaign and segment, opt-out rate, meetings booked and, most importantly, pipeline created and won in the CRM. A campaign with a strong reply rate and no pipeline is telling you something about the audience or offer.

Inbox placement tests are useful as a periodic check when you change domains, copy or volume. They show where seed messages landed, not what every recipient will see, so we treat them as one signal among several.

Compliance and where we draw the line

Cold email rules differ by country. In the US, CAN-SPAM requires accurate sender details, a postal address and a working opt-out. In the UK and EU, B2B outreach usually depends on a documented legitimate interest and respecting objections immediately. Canada’s CASL requires express or implied consent. Which audiences you can contact is a decision for you and your legal adviser; our job is to build a system that applies that decision consistently.

We won’t build campaigns on lists with no known source, hide who is sending, remove or obscure opt-out options, or keep buying new domains to work around complaints. If a plan depends on any of those, we’re the wrong partner for it. Our outbound sales automation service explains how we approach responsible outbound more broadly.

How many sending accounts do we need in Instantly?

Work backward from the volume you can handle well. Decide how many qualified conversations your team can follow up on each week, estimate the sends needed, and keep per-account daily volume conservative. More accounts spread risk; they don’t fix a weak list.

Does Instantly warmup guarantee inbox placement?

No. Warmup builds a sending history for new accounts, but mailbox providers ultimately judge you on how real recipients respond. List quality, relevance and volume matter more over time.

What’s the Global Blocklist in Instantly?

A workspace-wide list of email addresses and domains that Instantly won’t import or contact, including leads already in running campaigns. Use it for opt-outs, existing customers and anyone who must never receive outbound email.

Can Instantly send leads to HubSpot or Salesforce?

Yes, through native integrations or webhooks. Decide which reply statuses create records, how duplicates are matched and who owns the record before switching the sync on.

Should we use Instantly’s lead database?

It can be a convenient source, but treat it like any other data provider: verify addresses, check fit against your ideal customer profile, and record the source so you can explain where a contact came from if asked.
